As Administrative Assistant, you will provide exceptional administrative and secretarial support to the Johnson & Johnson Integration Lead and HR Integration Lead, relating to all aspects of the ongoing project including information of highly sensitive and confidential nature. You will resolve issues proactively through the relevant processes and procedures and liaise with all levels across the organization and external stakeholders.


Main Responsibilities:



  • General Administration Tasks

  • Travel organization 

  • Organize Global, Regional and local Meetings

  • Produce and distribute meeting minutes, memos, letters and forms

  • Purchase Orders preparation / Invoices handling

  • Diary Management; Prioritize and manage complex schedules of commitments and ensuring that calendars are fully maintained and accurate. Proactively notifying when there is a change in schedule

  • Contracts Handling / Records Retention Support

  • Independently resolves correspondence, telephone calls in manager´s absence. Applies PC skills, knowledge of systems and understanding of policies and procedures to complete tasks, presentations and special projects. Liaises with all levels across the organization and external bodies. Interacts with both internal and external organizations

  • Expense Reports: Process and submit Expense Report

  • Provide general support to visitors

  • Ability and desire to work in a fast-paced project environment with a diverse team environment

  • Proven track record as an administrative project or management assistant or in comparable function

  • Previous experience in an international environment is a plus

  • Highly organized and structured while still allowing flexibility

  • Proficient in all MS Office package, general IT-affinity

  • Autonomous, reliable, proactive, attention to detail

  • Ability to prioritize tasks and work under pressure

  • Highly discreet when working with confidential and sensitive data and information

  • Excellent office management and interpersonal skills are essential as are good organizational abilities, and the personality of a good team player

  • Must be able to work independently with minimal supervision

  • Excellent time management skill

  • Flexibility and adaptability to changing workloads

  • Very advanced written and spoken English, German is a plus

  • Good listening skills and ability to pragmatically approach solution
