Main Responsibilities:

  • Administrative support Head of Department and his team in Zug
  • Calendar Management; prioritize and manage a complex schedule of commitments and ensure the calendar is fully maintained and accurate. Proactively notify when there is a change in schedule
  • Book flights, hotels, and cars 
  • Manage monthly expense reports 
  • Organize weekly, monthly, and quarterly team meetings
  • Coordinate internal and external events, conference, and meetings locally and outside of Switzerland
  • Manage Global Organizational charts
  • Manage all logistics for interviews
  • Handle all new employee requests and coordinate the on-boarding process
  • Budget handling
  • General Administration Tasks upon request of the team


Who we are looking for:

  • Proven track record as a Personal/Executive Assistant
  • Previous experience in an international environment
  • Good Excel, PowerPoint and grasp of IT systems
  • Ability to work with a diverse team environment
  • Proactive in bringing ideas, changes and improvement in support
  • Highly discreet when working with confidentiality and sensitive data
  • A proactive approach and an ability to prioritize and anticipate are required
  • Very advanced written and spoken English, German would be advantageous
  • Good listening skills and ability to pragmatically approach solution

This role based in Zug, Switzerland will initially be limited to approx. 12 months, with an option for extension.
