Under the Randstad Inhouse Services concept, Randstad becomes a full service supplier providing consultancy to international clients. For a long term temporary assignment for our client, the company Philip Morris International, based in Lausanne, we are seeking for an:

Executive Search Coordinator

Temporary assignment - 100%

Overview

  • Supporting the Executive Recruitment Manager(s) with all search campaign activity, the Executive Search Coordinator plays a key role in the team’s ability to hire quality talent, achieve hiring manager satisfaction and promote the best candidate experience.

    Responsibilities

  • Create campaign files both off and online (candidate packs, interviewer assessment packs etc.) to ensure all recruitment documentation is kept and stored appropriately.

  • Track each stage of the process using the recruitment management system.

  • Work closely with Executive Assistants, hiring managers, external search partners and other key individuals to ensure smooth delivery of search activity. Updating Hiring Managers at all times to manage conflicting priorities and tight deadlines.

  • Schedule interviews and update recruitment management system. Coordinating travel details (including booking flights) and pre-meeting preparation. Liaise with Executive Assistants to agree logistics for interview panels. Respond to candidate inquiries.

  • Create and update candidate interview packs. Send briefing packs to candidates prior to interview.

  • Reconfirming interviews with stakeholders (candidates and hiring managers).

  • Liaison with external assessment partner to schedule candidates’ assessments. Send pre-assessment packs to candidates.

  • Reject unsuccessful candidates and update recruitment management system.

  • Manage the filing of candidate and campaign data. Keep spreadsheets and databases up to date with all relevant information including a candidate database, diversity monitoring and assessment timetables.

  • Provide a positive candidate experience, responding promptly to queries and providing a clear, professional and service-orientated approach.

  • Escorting candidates around the headquarters and answering any questions they may have and being a positive ambassador for PMI.

  • Support in team admin activity, e.g. purchase order creation, check group inbox to deal with queries relating to recruitment.

qualification

  • Extensive knowledge of managing end-to-endrecruitment administration for senior recruitment campaigns in high pressureworking environments.

  • Proven track record of coordinating andorganising interviews, assessment days, recruitment events, and travel.

  • Computer literate (Intermediate MS-Officeskills, recruitment management systems).

  • Experience of working in recruitment/HR industryon supplier or client side preferred.

  • Capable of interaction with senior stakeholders.Able to flag issues with senior managers, and identify and resolve problems atpace, working closely with colleagues to resolve.

  • Ability to assess and prioritize multiple tasks,and escalate where needed to minimize/avoid buildup of backlog.

  • Assertive; able to respond positively topotential conflicts.

  • Attention to detail – manages documentation withaccuracy and precision.

  • Ability to respond courteously to externalcandidate inquiries.
