Under the Randstad Inhouse Services concept, Randstad becomes a full service supplier providing consultancy to international clients. For a temporary assignment in the General Services (GS) Department of our client, the company Philip Morris International, based in Lausanne,
We are currently looking for a:

General Services Coordinator 100%
(3 months - possible extension to be confirmed)

Purpose of the job:
Support General Services operational multi-functional teams, in Lausanne, in various aspects (technical, hospitality, conference support), achieving a high level of satisfaction with a courteous, polite and professional attitude towards employees, guests and suppliers.

- Ensure efficient support for conference services to residents for internal & external events (from 7 to 60+ conference/meeting rooms, over 200 residents)
oControl all conference/meeting rooms for correct functioning – troubleshoot instantly – prior to day start (proactive service)
oProvide individual assistance and advise all internal & external videoconferencing users (from 1 to 30+ videoconference resources).
oOffer on-call assistance during working hours to assist users in the (video)conference rooms
oPrepare set-up for all event locations according to the reservations schedule, number of attendees and equipment requested (white board, flip-charts & special tools).

- Provide mailroom support by processing all in/outgoing mail by Swiss Post, DHL or others, including delivery within the offices.
- Provide stationery supplies support by handling all intranet residents’ requests in collaboration with the central stock
- Fill vending machines and perform inventory
- Provide support for concierge services, such as contact with external suppliers, and “doubt removal” following resident requests concerning technical or building aspects. Must be liable for any requests/problems and provide efficient solutions through practice
- Organize all moves within the system and provide accurate information to residents and IS department
- Control suppliers working in the building by establishing work authorization and check that safety requirements are respected
- Check cleaning crew and actively control the building good condition

Qualifikation

Expected competencies:
- Ability to multi-task and manage priorities
- Strong agility and interest in the use of IT systems
- Advanced French and English mandatory, any extra language is a plus
- Driving license mandatory
- Natural sense of customer service, pro-activity and flexibility
- Deal with a fast-moving environment, requiring flexibility
- Maintain consistent performance, accuracy and kindness in spite of the numerous interruptions inherent to the nature of the various tasks required

Skills:
- Technical CFC or equivalent required
- Developed computer skills (MS Office) required
- Interest in Hospitality and Technical services required (min. 6 months experience required in either domains)
- Ability to work autonomously and within various teams – social and easygoing
- Organized, customer oriented and pro-active
- Curious and keen to learn everyday
- Practical mindset, problem solving and a sense of pragmatism
