Stellenbeschreibung

Our client, a leading international company, is looking for a 

Office Administrator

Location: Zug, Switzerland
Contract: Permanent 

Start date: Asap

Responsibilities:

  • Performs administrative duties, which will involve exposure to highly confidential information
  • Books flights, hotels, drivers, meeting rooms and any other travel arrangements 
  • Arranges catering, prints meeting materials, handouts, etc
  • Manages purchase orders and processes accounts payable invoices (seldom)
  • Prepares correspondence, spreadsheet reports and presentations as directed
  • Provides telephone support; assumes responsibility for copying, faxing, and developing and maintaining filing systems
  • Completes expense reports for the Senior Leader and his Executive Assistant
  • Maintains up-to-date Outlook contacts for the Senior Leader and his Executive Assistant
  • Provides support and back-up for the Senior Leader’s Executive Assistant

Skills and Competencies:

  • Commercial Diploma or higher education (e.g. Hotel management)
  • Fluent in speaking and writing English and German languages
  • Generally has at least 2 years of related experience in a similar position
  • Experience of supporting senior level management
  • Excellent communication and presentation skills
  • Flexible with strong social skills
  • Excellent organization skills combined with discretion and trustworthiness
  • Ability to work on own initiative within a team and independently
  • Excellent knowledge of office tools as telephone systems, MS Outlook (especially calendar), MS Word, PowerPoint and Excel
