As an Administrative Assistant, you will provide high quality & proactive support to 2 Heads of the Confectionary business unit.
A Day in the Life of an Executive Assistant:
- Provide comprehensive administrative assistance tailored to the specific needs of each head of and their working area, demonstrating initiative and discretion in managing sensitive information.
- Maintain and update team lists, spreadsheets, absence records, and other key information, ensuring effective unit planning and organization.
- Oversee the management of Outlook calendars, including appointment scheduling.
- Draft and manage routine correspondence, short notes, and other documents using word processing, spreadsheet, database, or presentation software, following concise instructions.
- Plan and coordinate logistics for internal and external workshops, events, and seminars, ensuring all aspects are efficiently organized.
- Organize travel logistics, including flights, accommodations, transportation, and visa requirements, in accordance with Nestlé policies. Collaborate with markets as necessary to ensure cost-effective arrangements.
- Create and track the procure-to-pay process, including Purchase Requests (PR), Purchase Orders (PO), and Service Entry Sheets (SES).
- Prepare and follow up on expense reports, manage cash account transactions, and maintain accurate records of collections and distributions.
- Plan and coordinate logistics for internal and external workshops, events, and seminars, ensuring all aspects are efficiently organized.
Qualifications:
- Proficient in English
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong organizational and multitasking skills with a solid experience in multitasking
- Excellent communication skills, both written and verbal.
- Ability to maintain confidentiality and exercise discretion.
- Detail-oriented with a focus on accuracy and efficiency.
