We are looking for a reliable and service-oriented Receptionist & Office Administration Support to join a dynamic and international environment. Your responsibilities:
Reception & Front Desk Duties
Welcome and register visitors, suppliers, and clients; issue badges and manage parking access
Answer incoming calls, direct inquiries appropriately, and handle basic information requests
Manage incoming/outgoing mail and parcels, liaising with courier services

Office & Facilities Support
Support meeting room preparation and catering arrangements (excluding ordering)
Perform walkthroughs to ensure the building is clean, secure, and organized
Coordinate logistics for office events and internal moves (e.g., arranging furniture, packing)
Report facility-related issues to the facility management provider
Collaborate with cleaning services and IT support staff
Administrative Support
Assist the Line Manager with administrative tasks as required
Order and manage office supplies and stationery
Update and maintain the intranet/SharePoint page
Provide back-up support to reception/switchboard and mailroom when needed
Sort and distribute daily mail
Safety & Compliance
Participate in the building’s evacuation team and act as a first aid responder
Ensure actions align with core values of safety and integrity, taking responsibility for individual conduct while supporting the wellbeing of colleagues
Your qualifications:
- This is an entry-level role, perfect for candidates with little or no prior experience
- Any prior experience in reception, customer service, or office support is a plus
- Fluent German (spoken and written) and good command of English are required
- Friendly, professional, and proactive with strong attention to detail
- Comfortable with basic administrative tools and able to follow standard procedures
